b. What is a Database Management System? Give examples.

→ A Database Management System (DBMS) is a software suite that facilitates the management of databases. Examples of DBMS include MS - Access, Oracle, Foxpro, and MySQL.

 

c. What are the four advantages of DBMS?

→ DBMS offers several advantages:

            i.                  It helps control data redundancy, avoiding duplication.

         ii.                  It provides an improved user interaction experience.

      iii.                  DBMS maintains accurate data results.

      iv.                  It allows sharing of the same database across different programs.

 

d. What is MS - Access and its special features?

→ MS - Access is a Relational Database Management System (RDBMS) developed by Microsoft. Some of its notable features include:

            i.                  Creating databases, tables, forms, queries, and reports as per user needs.

         ii.                  Ensuring data consistency.

      iii.                  Being user-friendly and intuitive.

      iv.                  Enabling manipulation and management of stored data.

 

e. What is the database window of MS - Access and its objects?

→ The database window in MS - Access is the interface housing objects like tables, queries, forms, and reports. The four objects present in the database window are:

            i.                  Table

         ii.                  Query

      iii.                  Form

      iv.                  Report

 

f. Define a primary key and its importance.

→ A primary key is a field that uniquely identifies each record in a database. It's crucial for maintaining data integrity and establishing relationships between different tables.

 

g. What is data sorting and its advantages?

→ Data sorting involves arranging information based on a specific field, either in ascending or descending order. The advantage of sorted data over unsorted data is that it enables faster searching and easier data comprehension.

 

h. Explain the uses of caption and validation text.

→ Captions are used to display alternate, explanatory names for fields, enhancing user understanding. Validation text is employed to show messages when user input violates validation rules, helping maintain data accuracy.

 

i. What is a form and how is it used?

→  A form is a database element used to display records on screen, easing the process of entering new data and making changes to existing records. Forms in MS - Access offer the following uses:

            i.                 Simplifying data insertion and display.

         ii.                  Directly connecting to data sources like tables or queries for data manipulation.

 

j. Define a report and its necessity in DBMS.

→ A report, within MS - Access, presents data in a user-defined format.
